Make Date Corrections
Benefits Junction is designed as a robust enterprise-grade benefits administration system, tailored to ensure alignment with company policies and compliance with both legal standards and plan parameters. This alignment necessitates certain constraints, particularly regarding modifications after specific processes have been executed. For instance, changing the effective date impacts various calculations such as premiums, payroll deductions, and eligibility dates. Adjustments to this date require extensive recalculations and can lead to complex downstream errors without a clear audit trail.
To prevent such complications, it is crucial to enter dates accurately the first time. However, we recognize that in certain circumstances, such as a new hire amending their start date at the last minute, changes are unavoidable. In these instances, please promptly contact your customer success team at Workforce Junction. We will handle these adjustments backend to mitigate any potential issues while maintaining a complete audit trail.
We have identified several scenarios where an HR Admin user might find it necessary to request changes that could pose challenges. Please consult these guidelines carefully to ensure efficient system use and avoid the need for corrections.
Hire Dates
- Changing a Hire Date to an earlier date – the admin user must not update a date less than the current hire date.
- Changing a Hire Date to a future date – there are different scenarios:
- After the New Hire enrollment window expires. If an admin user makes this change, the enrollment effective date will not be recalculated. The new hire workflow will not be available to employees. Please send these corrections to WFJ.
- Within the New Hire enrollment window after employee has ‘submitted’ enrollments. If an admin user makes this change, the enrollment effective date and the New Hire To Do List end date will not be revised. Please send these corrections to WFJ.
- Within the New Hire enrollment window and before the employee has ‘submitted’ enrollments. If an admin user makes this change, the enrollment effective date and the New Hire to Do List end date will be revised. The new hire workflow will work as expected for the employees. This is one situation where an Admin User can go ahead and make the change without causing any issues.
Termination Dates
If an employee status is changed to Terminated, and later the date is changed to earlier or later than first entered, benefits enrollment termination date will not be revised. This is because benefits enrollment terminations are done simultaneous with the initial termination date entry. Please send ALL termination date change requests to WFJ.
Class, Location, Division, Department (CLDD) Changes
- Changing any of the effective dates to a past date – The system will not allow you to enter a date earlier than the latest date in any of the following fields.
- Status effective date
- Class effective date
- Location effective date
- Division effective date
- Department effective date
- Salary effective date
- You will get an error if you try to change only the effective date for a CLDD field. Admin users cannot change the CLDD effective date without a change in CLDD. If the CLDD effective date has to be corrected, send the request to WFJ.
- If a newly hired employee is added to a part-time class and then changed to a full-time class with the effective date the same as the hire date, then the system will give an eligibility change workflow. The enrollment effective date in this workflow will be based on the class change waiting period rule (not the new hire waiting period rule).
