Report Scheduler

Description
  • Reports can be scheduled to generate based on a pre-defined frequency.
  • There is an option to send email alerts from the system to user(s) when the scheduled report is generated.
  • Reports available for scheduling:
    • Employee Personal Information
    • Employee Work Information
    • Enrollment and Contribution (Monthly)
    • Dependent Information
    • Payroll Deduction (Per Pay Cycle)
    • COBRA DOL Report
    • COBRA Eligibility Report
    • Enrollment Changes Report
    • Custom Report

Schedule

  • setup new scheduled reports and edit existing scheduled reports
Creating New Scheduled Reports
  1. Click Add New.
  2. Select the type of report you want to schedule and click Proceed.
  3. Enter a Schedule Report Name. This is to identify your scheduled report among others.
  4. If you selected Custom Report, select the name of your custom report from the drop down. The drop down is pre-populated with custom reports that you have already created.
  5. Enter a Schedule End Date.
  6. The Status is auto-populated to Active and can be edited later.
  7. Select when the report should run and then specify the associated number or day of the week.
    1. Ex. Day ___ of the month, 15 
      • This will generate a report every 15th day of the month
  8. The default Time a report is generated is 2:00 AM PST. Reports can also be generated at 5:00 PM PST. These options were intentionally chosen based on how reports are currently used across time zones at the beginning and end of the day.
  9. Depending on the type of report selected, additional options will allow you to select a Date Range or Effective Date.
    1. Effective date options were created considering a variety of ways reports can be used, including EDI.
  10. The default Employee Type is Live.
  11. Select the desired Plan Types for reports which provides enrollment information. 
    1. Click the CTRL button on your keyboard to select multiple plans
  12. Check Email Alert to enable email alerts when your scheduled reports are ready for download
    1. Enter the email address of Recipients that should receive an email notification.
    2. Enter or modify the Email Subject. 
    3. Enter or modify the Email Body
  13. Click Save.
Editing a Scheduled Report
  1. Click on Report Name link.
  2. Update the desired fields and click Save

Generated

  • Displays all reports that have been generated to date
  1. The Report Name is user specified and is for your reference.
  2. Click the Report Link to download the file Excel. 
    1. The file name is system generated so you may want to save with a file name of your choice.
  3. The Status column shows if the report is ready to download or pending.
  4. If you selected Email Alert, you will receive an email notifying you when your report is ready to download.
Note: User scheduled reports are not available in the Scheduled Reports tab of the Employer Tasks on the Home Page. They are available in the Generated section of the Report Scheduler under the Reports tab.
